How to get CMAA certified as a medical administrative assistant
CMAA certification is the Certified Medical Administrative Assistant (CMAA) credential from the National Healthcareer Association (NHA): you qualify through a training program or supervised front-office work, pass one proctored exam, and keep the credential by renewing every 2 years with 10 continuing-education credits.
What the credential is, and what it is not
The CMAA certifies front-office work in a medical practice. NHA’s own description of the job covers correspondence, office computer systems, phone calls and scheduling, greeting patients, updating the electronic medical record, keeping practice information current, time and attendance reports, and office equipment. Nothing on that list touches a patient’s body: no vitals, no injections, no blood draws.
It is voluntary. No US state licenses medical administrative assistants, and NHA states that its certification is separate from any state requirement to practice — there is no “medical office assistant license” to get. What an employer can check is the certification itself, in NHA’s public verification tool.
Eligibility: the two pathways
Every NHA candidate clears the same first box: a high-school diploma or equivalent (a GED or another state-recognized test). Students due to finish high school within 18 months can test early under NHA’s provisional route and convert the credential after graduation. Then you qualify one of two ways.
Pathway 1
You completed training
A medical administrative assistant training program from an accredited or state-recognized provider, completed within the last 5 years.
- A DOL-registered apprenticeship or US military medical training also counts
- Finished an employer program’s coursework but not its on-the-job part? You can test; the certificate waits until completion is confirmed
Pathway 2
You already work the front desk
Supervised work as a medical administrative assistant: 1 year within the last 3 years, or 2 years within the last 5.
You attest to your pathway when you apply and NHA can audit, so keep your proof. The candidate handbook lists every accepted training route. Unlike NHA’s phlebotomy and EKG exams, the CMAA has no logged procedures to submit.
You finished a medical administrative assistant program 7 years ago, then spent the last 18 months checking patients in at a family practice under the office manager.
- Pathway 1: the program is older than 5 years, so it no longer qualifies.
- Pathway 2: 18 months of supervised front-office work inside the last 3 years clears the 1-year bar.
- Apply under pathway 2 and keep proof of the dates and of who supervised you, in case NHA audits.
Outcome. Eligible now, on experience rather than training.
Do you need a training program?
Only for pathway 1. With a year of supervised front-desk work in the last 3 years, NHA requires no course and no NHA prep purchase. Starting from zero, a program — online or near you — is the usual way in.
NHA’s rule looks at the provider, not the format: an accredited or state-recognized provider, completed within 5 years of your exam. Online and in-person programs qualify alike. What separates a useful program from a thin one is coverage, measured against the 2021 test plan.

Create your own NHA account
You set it up yourself, not a parent or instructor, with a personal email you will still read after graduation.
Apply and attest to your pathway
Pick pathway 1 or 2, accept NHA’s attestations, and keep your proof on file.
Pay the exam fee
Currently $134 per attempt per NHA’s exam application page (checked Oct 2026). The handbook voids an application left unpaid for 2 hours.
Schedule the exam
At your school if it hosts the exam, at a PSI testing center, or by live remote proctoring. Applying on your own, outside a school, means PSI or remote.
Test, then collect the credential
A school sitting gives a preliminary result on the spot; PSI and remote results post to your NHA account within two days of scoring. You print the certificate from that account.
Bring a current government-issued photo ID with a signature. A remote sitting has no breaks and nobody else may be in the room: choose it only if you can count on 2 h 15 min alone.
The exam in one paragraph
Under the 2021 test plan, the CMAA is 135 multiple-choice questions in 2 h 15 min: 110 scored and 25 unmarked pretest items that don’t count. The 110 split across 7 domains, and two of them — Communication and Professionalism and Patient Encounter — carry 21 items each, 42 of 110 between them. How long it takes
No standard timeline exists: the pathway sets the clock and NHA publishes no averages. The stages:

Keeping it: renewal
A CMAA lasts 2 years and expires on the date printed on your certificate. Renewal takes 10 continuing-education credits per 2-year cycle (NHA counts 1 credit as 2 hours) plus the renewal fee listed on NHA’s renewal page. Extra credits don’t carry into the next cycle.
- Up to 30 days after expiry: renew as normal.
- 30 days to 1 year after: reinstatement, with more CE credits and an added fee.
- More than 1 year: the credential is gone; you sit the exam again at full price.
Hold more than one NHA certification and the same 10 credits cover all of them, though each one still carries its own renewal fee.
CMAA or CCMA?
Same issuer, different job. The CMAA is the front desk; the Certified Clinical Medical Assistant (CCMA) works the exam room — vitals, procedures, injections, EKGs, phlebotomy — with some front-desk duty on the side.

The overlap is thin. The CCMA plan gives Communication and Customer Service 12 items and Medical Law and Ethics 7, so HIPAA and phone conduct appear on both. On the CMAA, Medical Law, Ethics, and Compliance alone is 17 of 110, and scheduling and insurance go far deeper than the CCMA’s 12 administrative items.
Take the one that matches the job. Front-desk, scheduling or patient-access roles: the CMAA. The exam room: the CCMA — a CMAA does not qualify you for clinical tasks, and what an assistant may do also depends on the employer and state rules. Can you hold both? Yes: two separate exams, and one set of 10 CE credits renews both.
